Transportation – Cancellations & No-Shows

Cancellations

Owing to high demands for fleet vehicles, cancellations should be reported to the Facilities Office as soon as the driver/department is aware the vehicle will no longer be needed.  Palomar College fleet vehicles cancelled at least 24 hours in advance of the departure will be removed from the Facilities Office vehicle schedule and the requesting Department will not be charged.

If a weather emergency forces trip cancellations, this charge will be waived.

Palomar College fleet vehicle requests not cancelled within the 24 hours advance notice will result in a fee of $20 billed to the requesting Department.

Cancellation fees are to be written on the trip ticket form and placed in the file to be charged at the end of the billing cycle.

No-Shows

When a Department fails to pick up a reserved Palomar College fleet vehicle and the Facilities Office has not been notified in advance of the cancellation, the Department will be charged for one-way mileage to their requested destination.

The following information is necessary for proper filing of “No Shows”:

  • Remove the trip ticket form from the pending trip box.
  • Write “No Show” and the daily rate charge for that particular vehicle in the comments section of the trip ticket and highlight the information to ensure the Department is charged.
  • File the trip ticket in the trip completed file.
  • At the end of the month, the “No Shows” will be billed to the requesting Department.
