Deadlines

  • Absence Reports are due on the 1st of the month.
  • Pay date is the last working day of the month.

 

Absence Reports

Absence reports are distributed on the last working day of the month to all contract employees.  They are included in the envelope with employees’ pay warrants or direct deposit advices.  Absence reports should be completed, signed, approved by supervisor as necessary and returned to Payroll by the first of the month.  It is the responsibility of the employee to report absences accurately on the Absence Report.  The handbook for each employee group gives details and examples of types of absences and how they should be reported.

Reporting Procedures for Faculty

Contract Faculty should report absences taken as a percentage of the day.   For example, if a faculty member is out sick for 3 hours on a day when they’re assigned to work 6 hours, the absence should be reported as 50% (or .5) on the appropriate date on the Sick leave line of the absence report.  The same would be true for any other absence except Personal Business.  Personal Business absences should only be reported as 1 (for one occurrence).

Reporting Procedures for Educational Administrators

Administrators should report absences taken in hours.  For example, if an administrator is out sick for 3 hours on a day, then record 3 on the appropriate date on the Sick leave line of the absence report.  Reporting would be the same for any other absence type.

 

STRS re-deposit/buy-back (purchasing additional service credit)

An employee may be eligible to purchase additional service credit; please contact STRS to determine eligibility & request an estimate & billing statement. Information & contact information is available on the CalSTRS website, www.calstrs.ca.gov.

If choosing to make payment through a payroll deduction, bring the billing statement from STRS to payroll, with the billing payment option of payroll deduction selected. Based on the information from the billing statement, the employee will sign an Irrevocable Payroll Authorization form to permit the payroll deduction to begin. This deduction is tax deferred.

CA Ed Code: 87815

A person in an academic position who serves less than a full school year shall receive as salary only an amount that bears the same ratio to the established annual salary for the position as the number of working days he or she serves bears to the total number of working days plus institutes in the annual school term, and any other day when the employee is required by the governing board to be present at the schools of the district. Notwithstanding any provisions of this section to the contrary, a person in an academic position who serves a complete semester shall receive not less than one-half of the established annual salary for the position. This section shall not be so construed as to prevent the payment of compensation to a person while on leave of absence when the payment of the compensation is authorized by law. In the event any such person dies during the school year, his or her estate shall be entitled to receive, as salary owed to the decedent, an amount that bears the same ratio to the established annual salary for the position as the number of working days he or she served bears to the total number of working days plus institutes in the annual school term, and any other day when the employee was required by the governing board to be present at the schools of the district, less any salary paid to the decedent prior to his or her death.
