7-22-02 Equipment ordered from Cisco Systems for the project.
7-20/8-10 Interviewed two companies recommended by Cisco System as Integration Partners for the project.
8-6-02 Site visit to Pacific Blue Micro to inspect site and meet PBM team.
8-9-02 Started reference calls to various companies in which PBM is currently working with to install an VoIP system.
8-17-02 Integration partner for the installation of the VoIP system awarded to Pacific Blue Micro.
8-20-02 A requisition submitted to the Purchasing Dept. w/ contract for PBM.
9-1-02 Equipment received from Cisco Systems.
9-9-02 Encompass Network Services started installing additional cable in the D complex that will be the first building to use the VoIP system.
9-11-02 The signed final statement of work was faxed to PBM after several reviews and modifications by the district.
9-12-02 Encompass Network Services completed the installation of additional conduit, cable, and connections in the D complex in preparation of the VoIP system.
9-25-02 VoIP team met to discuss status of the project dates and needs or requirements for the project.
10-7-02 Met with SBC to discuss PRI needs and changes. Also requested that an inventory of all SBC services to the phone room be done. Also discussed the possibility of converting to DIDs campus wide. SBC will get back to us with a price quote and the possibility to reserve 1000 DIDs for the district.
10-14-02 Conference call w/ PBM to go over the project time line, details, needs, and changes.
10-18-02 The district sent PBM a copy of the dial plan of the current NEC PBX.
10-24-02 Brian of PBM and Mike started the installation and configuration of the Call Managers, 1 & 2, and the Unity Voice Mail Server. IP Phones were setup in the server room for testing each of the call managers and Unity voice mail.

10-25-02 Brian of PBM and Mike continued with the installation and configuration of the Call Managers, 1 & 2, and Peter of PBM worked on the configuration of the Unity Voice Mail Server. Testing of 4 VoIP phones and testing of Unity voice mail. Problems occurred with the voice mail and was submitted to Cisco.

10-28-02 Installation and configuration of Extension Mobility and testing of the Fail over. Several IP phones were added for additional testing between buildings, checking the clarity of the call, any delays, and for echo. The clarity was excellent, No delays, and No echo of any kind. The clarity is better than the existing NEC digital phone.
10-28-02 Brian finished the configuration of the call managers and found a configuration error on the Unity server and corrected the problem. Mike and Brian were able to move forward in the testing of the voice mail. Unity testing continues, some success in sending voice mails to email. Rick emailed the PBM project manager, Dianna, to setup a meeting with Quintron and PBM to discuss moving the PRI to the Adtran and connecting the NEC PBX and Cisco VoIP system together on 10-29-02. Brian was also informed by Rick while he was on site of this meeting.
10-28-02 Part of the testing of the IP phones included the configuration of the services and testing each service.  Services include campus directory, web services, messages, and individual settings.
10-29-02 Brian of PBM missed a scheduled meeting with the district's voice vendor, Rick called the PBM project manager to find the whereabouts of Brian and she was unable to contact his cell phone. We called the PBM main office and found that Brian had not left the office due to calendar not reflecting the scheduled meeting. Quintron waited for 2 hours for PBM and charged the district for this time due to amount of time their tech was out of service. Herb of Quintron was able to speak to Brian via the phone to discuss the requirements in swinging the PRI to the Adtran and connect both voice systems. This could have been avoided if PBM had requested a conference call with Quintron rather than a meeting.
10-29-02 Peter arrived to continue working on the Unity voice mail configurations and email.
10-29-02 A date of Friday, 11/1/02 starting at 5:00 p.m., has been set to swing the PRI circuit to the Adtran connecting the two voice systems. At this time the memory upgrade on the router will be done as well as the upgrade to the IOS.
10-29-02 Jose checked on the status of the Cisco Router memory upgrade with the Purchasing Dept. and it was ordered on 10-28-02. Rick called the vendor as to the delivery date and due to the delay in ordering the memory, the memory will not be in until Monday, 11/4/02.
10-29-02 Received an email from Dianna with the requirements and tasks needed to be performed before the Friday cutover.
10-29-02 Meeting with Don Sullins and the VoIP team to discuss converting the existing super trunks to PRI. Discussed putting a plan together for a future campus wide conversion to VoIP, funding, hardware needs, requirements, and roll-out plan. Discussed immediate needs for the D-building - Mt. Carmel VoIP pilot.
10-29-02 Peter and Mike continued to work on the Unity voice mail problems, they found some services not running in the automatic mode and a few other items that were causing the problem. Peter left at 6:00p.m. after verifying that the voice mail is working correctly.
10-30-02 Jose sent an email to PBM to try rectify some of the communication and project management problems that that occurred in hopes of moving forward without any other scheduling problems.
10-31-02 Rick sent an email to Dianna to arrange a conference call for Nov. 1 and Dianna called to confirmed that Brian would be here at 5:00 on Friday, Nov.1, to swing the PRI to the Adtran Atlas 830 to connect the two systems together and to the PSTN. Rick also confirmed with Quintron that Herb is scheduled to be here for this swing.
11-1-02 Conference call with PBM and Palomar to discuss the status of the project and to confirm details before the PRI cutover tonight at 5:00.
11-1-02 Brian of PBM and Herb of Quintron started at 5:00 to cutover the PRI to the Adtran. The cutover was successful, only a few minor problems but quickly resolved. The two voice systems were connected together to allow calling between the to voice systems. This also gave the Cisco VoIP system access to the PSTN, once this was achieved Brian could start testing the 3 phones the were cutover to the new system. It was decided to only move 3 phones over to the new IP system and remove them from the NEC system for testing of voice mail, calling local, campus, and long distance. In this testing it was discovered that there is a delay between the two systems when calling from the NEC phone to a IP phone, NO delay when calling from the IP phone to the NEC phone. It was determined by both that the cause of the delay was the T1 vs. PRI card and recommended that the card be replaced. This T1 is configured as a super trunk instead of a PRI as was first believed by Palomar and led PBM to believe the same, it was decided to look into several possible resolutions, (Adtran configuration, connecting the two systems another manner - suggested by Palomar Staff), before continuing on for the night. By adding a new PRI to the PBX all inter-phone system traffic will be off the existing Outbound CAS T1 circuit and leave this circuit dedicated to only outbound traffic. Brian would build the Adtran dial plan from home. In the mean time Juan, Rick, and Mike whose phones were converted to IP phones will continue to test all aspects of these phones and report any problems to PBM.
11-4-02 There is a delay in getting the Cisco 7200 router memory upgrade, we will contact Cisco to try to get the memory in on-time. The vendor contacted us to inform us that there would be a 20 day delay.
11-4-02 Mike is working with Quintron to get price quotes for the installation and purchase of a NEC NEAX 2400 T1/PRI card.
11-5-02 The Cisco 7200 router memory order was cancelled by Rick and reordered through another vendor who will be able to supply the memory within 7-12 days.
11-5-02 With the Adtran in place Mike has been monitoring the two voice systems with the Adtran software for the last two days and has discovered that the Outbound PRI used close to being maxed out. The ability to monitor this circuits use was not available to us in the past, the Adtran has given us a tool to better monitor the districts phone services.
11-5-02 Received an update of the project from Dianna, (PBM project manager), Rick responded back to her with additional information to add to the project update.
11-5-02 The T1/PRI card was ordered from Quintron today, Quintron will call us to schedule the installation as soon as they receive the card, it is expected to be installed this week.
11-5-02 The memory order for the Cisco 7200 was cancelled and reordered through PBM who said they could supply the memory in 7-12 days. Rick emailed Dianna to inform her of the memory delay and that it was now reordered through PBM.
11-6-02 A problem with outside calls unable to leave voice messages on the Unity VM system was discovered. Mike is investigating any changes that could have created this problem and will keep the group informed with his findings.
11-6-02 Testing of 5 IP phones is continuing, checking with the users for any problems and Mike has resolved some of the minor problems. Rick has experienced problems in dialing some extensions in the 2300 range, it kicks the call directly to the Unity messaging. Testing will continue and problems will be reported to PBM if they can not be resolved in-house. The issue with the 2300 range was resolved in-house by Mike.
11-6-02 In testing the Unity voice mail system with the districts current voice mail system we were able to forward a voice message from the old VM system to the Unity VM system.
11-7-02 Dianna called to confirm that there would be no work scheduled for Friday night. She also called to inform us that Peter was starting his vacation on 11/14, it was requested that Peter be scheduled to come to Palomar on the 12th or 13th to continue with configurations and training.
11-11-02 Quintron attempted to install the new T1/PRI card in the NEC PBX, but after installation and testing it was discovered that the card was faulty and was a replacement was ordered.
11-12-02 Quintron installed the new T1/PRI card in the NEC PBX today. Herb configured the PBX for the new card and Mike configured the Adtran for the new circuit. The Palomar staff connected and configured the two systems through the new PRI card and the 4 second delay problem has been resolved. Other problems resolved are the Caller ID on the IP phones, (NEC ext. ID's seen on IP phones), and voice mail forwarding from the NEC PBX to the Unity VM system works correctly. Additional fine tuning and testing is required on both systems by Palomar staff. Rick notified Dianna of the progress to date and that the 22nd of Nov. for the memory upgrade is an acceptable date. There is a minor problem with the caller ID on the NEC side, it displays the full 10 digit number, we believe that Quintron can easily resolve this problem on the PBX.
11-12-02 Received a email from Dianna with the status from PBM of the project along with a status on the router memory. Also a request for the installation of the IOS update and Mt. Carmel installation.
11-12-02 Peter is on site today to work with Juan on the Unity VM system and the Exchange 2000. Peter is here to continue his knowledge transfer and configurations.
11-13-02 Received an email from Dianna confirming the Nov. 22 cutover date and scheduling for the PBM staff to be on site.
11-15-02 The memory upgrade for the Cisco 7200 router arrived today, it will be schedule for installation by Palomar staff.
11-15-02 The memory upgrade was installed after hours by Mike and Mike sent John Bristol an email concerning the IOS upgrade version, there is a newer version out from Cisco than the proposed upgrade version by PBM.
11-22-02 Brian and Mike started the Mt. Carmel installation today and ran into a problem with the phone cabling in this building. They were unable to complete the configuration and testing for this site due to this problem.
11-24-02 Mike started the IOS upgrade after 4:00 PM, completed the upgrade on the 6509 but ran into a hardware problem on the 7206. It was discovered that the flash memory on the 7206 was faulty and Cisco was called, Cisco is sending out a new flash memory card.
11-25-02 Rick sent Dianna an email informing her of the status of the planned work for the weekend and what was planned to resolve these issues.
11-25-02 Mike received the flash memory from Cisco this afternoon.
11-26-02 Mike installed the new flash memory and upgraded the IOS on the 7206 early in the morning as to not effect normal operations of the district.
11-26-02 Rick received an email from John asking on the status, Rick responded back with the latest news that all devices that needed the IOS upgrade had been completed and we are ready for the planned QOS configuration on Wednesday, 11-27-02.
11-27-02 John and Brian worked on the configuration of QOS on all the routers and switches. They also configured and tested the Mt. Carmel site today. They discovered a bad switch on our network that was causing network problems and IP phone drop offs. We replaced the switch and IP phone dropped calls were resolved.
12-3-02 Dianna called to schedule Brian and Peter for final testing for 12-5-02 on the call managers, Unity, Adtran, and several IP phone tests. I reminded her that PBM still has to deploy 10 phones in the D complex and test a fax machine.
12-5-02 Brian and Peter came down and worked with Mike and Juan on the final testing for the project. Any items that were a concern on the SOW were addressed at that time and worked on by PBM.
12-9-02 Palomar staff started rolling out the IP phones to the D building area.
12-9-02 Received a email from Elaine to set a date to sign off on the Project.
12-10-02 Palomar has deployed 20 IP phones and 1 ATA to date with another 10 remaining for this area. There are a total of 26 IP phones on campus.
12-13-02 All the IP phones for the D complex have been deployed, Quinton must now be contacted to cut over the existing phones new IP phones to receive calls from the PBX side. We are looking at training the users first before this is done, but the users are able to practice using the phones between other IP phones.
1-13-03 It was decided that until we fully tested the IP phones to leave the existing BELL cable and reschedule the removal of the old cable until the Summer Session.
8/13/03 Start of the removal of the BELL cable in the D buildings, this portion of project was re-quoted due to the amount of time that had passed and was quoted at a lower cost by Prime Telecommunications & Electrical.
8/18/03 Prime completed the removal of the BELL cable from the roofs, ceilings, & walls. Installed new Telco feed cable to handle alarm systems & pay phones, and installed feed cable between the two IDF racks.
